Session Chair Instructions

Please arrive at the room where the session will be held at least 15 minutes early.
- Make sure that the correct session information is displayed at the door.

Confirm that the AV equipment is working properly – if not, please get in touch with the volunteers immediately.

Every room will have a computer with the following specifications:
- Operating System: Windows 11.
- PowerPoint Version: Office 365.
- Each laptop has a USB.
- Make sure that correct session information is displayed on the projector screen.
- Check that all presentations have been uploaded in the corresponding directory in the Dropbox folder; last minute updates can be copied in via USB via the central Preview Desk.
- Presenters who are unable to attend due to travel restrictions were asked to prepare pre-recorded presentation videos; please check that those are available in the folder.

Every room will have a computer with the following specifications:
- Identify the presenters in your session (in fact, you are encouraged to reach out to the authors of the papers in your session ahead of the time to inquire who will be the presenter) and confirm how they would like to be introduced (title, pronunciation of the name, etc.)
- You will be notified by email from the PC chairs in case there is an anticipated absence in your session due to travel restrictions. Those presenters have been asked to arrange for a substitute to attend and play a prerecorded video in their place. A volunteer will help you quickly locate the video.
- Given the tight schedule, the presenters must use the computer already in the room to present their work. Presenters have been given access to the Dropbox folder to upload their presentation, and volunteers in the Preview Desk will help copy the talk over using USB if required.
- Start the session with a brief (1-2 sentence) introduction of yourself and the session
- Inform the presenters and audience about the duration and format of the presentation:
- 12 mins presentation
- 3 mins question and answer session after each talk; the next presenter should be setting up during the last minute of Q&A.
- Strictly enforce the time limits both during the talk, and during Q&A.
- Do not hesitate to cut off questions and answers if they overshoot, and ask the presenter and audience member to follow up after the session.
- In each room, there will be a timer screen at the back of the room, visible to both the chair and the presenter. This timer will be restarted for each presentation (15 minutes -– talk and Q&A).
- Have a backup question for each talk.
- When the session ends, encourage the audience to stick around to interact with the presenters and also to attend the poster sessions for further interactions.
- Notes:
- There will be a volunteer available in each room to resolve technical difficulties and to pass microphones around during Q&A sessions.
- At the Preview Desk, the technical team has a USB-C adapter and multiple USB drives for presenters to upload their presentations if they cannot use Dropbox.
Presenter Instructions
Please find below the SIGMOD24 Presenter Instructions. Please also note that every talk has a poster slot on the same day. Poster instructions and poster timings/location information are available on the conference website.
- Each presenter has 12 minutes for presentation and 3 minutes for set-up and Q&A.
- Session chairs will strictly enforce time limits. Please do not overshoot the 12 minute limit.
- There will be a timer screen at the back of each room, visible to both the chair and the presenter. This timer will be restarted for each presentation (15 minutes–talk and Q&A).
- If you anticipate not making it to Santiago due to visa issues, you need to contact the PC chairs right away. In such cases, we ask that you arrange for an alternate presenter,
who will be responsible for playing a pre-recorded video.
- Prerecorded video should be in .mp4 format
- Please inform the PC chairs ahead of time about who will be presenting your paper in such a case
- The presenter should inform the session chair if they can answer questions. We will unfortunately not be able to support authors videoconferencing to answer questions
- In case you cannot present your work due to an unforeseen last minute emergency, inform the PC chairs immediately
- You must use the SIGMOD/PODS´24 supplied computer; we will not allow use of your own laptop to avoid software/hardware incompatibilities or malfunctions, and resultant delays.
- Every room will have a computer with the following specifications:
- Operating System: Windows 11
- PowerPoint Version: office 365
- PDF Acrobat Reader (Presentations created in Keynote, LaTeX, or other programs must be converted to PPT or PDF files)
- QuickTime 7 or higher, Chrome
- You must upload your presentation to the Dropbox folder corresponding to your session, preferably by midnight of the day before your talk, and no later than
THREE hours BEFORE the beginning of the session in which your paper will be presented.
- There is a Dropbox link for uploading presentations in a folder specially dedicated to the session where the presentation is held. This link will be shared to you by PC Chairs.
- The organizers have provided a central Preview Desk, to upload the talk directly at the conference venue, in case you are having issues with Dropbox. The technical team has a USB-C adapter and multiple USB drives for presenters to upload their presentations.
- Once the presentation is launched on the computer in the presentation room, you will advance your own slideshow using a remote control.
- Arrive at the room where the session will be held at least 15 minutes early and introduce yourself to the chair of your session.
- You are encouraged to reach out to the session chair ahead of the time to inform who will be the presenter and confirm how you would like to be introduced (title, pronunciation of your name, etc.)
- When the session ends, stick around to interact with the audience and also attend poster sessions for further interactions (see SIGMOD24 Poster Instructions).
